General Purpose
The City of Idaho Falls is currently accepting internal applications for the position of Office Assistant with the Sanitation division. This position performs a variety of general office and clerical duties as required to maintain and expedite responsibilities and services rendered by the City Sanitation Department. Works under the general supervision of Sanitation Superintendent.
Essential Functions
Receives and Dispatches calls for garbage collection for commercial and residential service; answers inquires over the telephone regarding collection days and items picked up.
Maintains records and files of employee time sheets, absence reports and personal injury and vehicle accident reports; maintains PSD reports and sorts reports to determine proper money allocations.
Composes and types purchase requisitions, work requests and monthly activity reports; enters time on computer payroll; computer enters tracking records for commercial containers; updates route changes, additions and deletions.
Prepares monthly employee reports for Sanitation personnel to identify regular and overtime hours worked according to collection categories so personnel expenses can be monitored.
Prepares and processes requests for billings for services rendered by the department and submits to City Controller for collection.
Composes and maintains files for container accounts; maintains container route books.
Acts as Office Assistant for the Street Department when needed during snow removal and in absence of Streets Office Assistant, etc.
Performs related duties as required.
Minimum Qualifications
1. Education and Experience:
A. Graduation from a standard senior high school, or GED, with course background in basic mathematics, office practices and procedures, bookkeeping, or some other related field AND B. One (1) year of responsible work experience developing basic office skills; OR C. An equivalent combination of education and experience.
2. Knowledge, Skills, and Abilities:
Some knowledge of modern office practices and procedures; some knowledge of City geography; some knowledge of basic mathematics; some knowledge of public relations and interpersonal communication skills.
Ability to operate a motor vehicle; ability to exercise decision-making in routine situations; ability to communicate effectively, verbally and in writing; ability to develop effective working relationships with Supervisors, fellow employees, and the public; ability to learn and understand City Sanitation Ordinances and Regulations.
3. Special Qualifications:
Must possess a valid Idaho driver's license.
Work Environment
Incumbent of the Tasks require a variety of physical activities not generally involving muscular strain. Incumbent of the position performs in a typical office setting with appropriate climate controls. Tasks require variety of physical activities, not generally involving muscular strain, related to walking, standing, stooping, sitting, reaching, and lifting. Essential functions require talking, hearing and seeing. Common eye, hand, finger, leg and foot dexterity exist. Mental application utilizes memory for details, verbal instructions, emotional stability and discriminating thinking.
