Job Title: Registrar – High School
To maintain all student records (except attendance) at the high school, including courses completed, grades, credits, student addresses, immunizations and health records. Put master schedule into the computer, print out class schedules and report cards and mail class schedules and report cards to students. Maintains student records at the high school. Enters master schedule into the computer. Types revised Curriculum Guide each year. Prepares class lists of students for teachers. Responds to questions from counselors and other school districts on student records. The Registrar – High School reports to the principal or designee and does not supervise others.
Maintains student records at the high school.
Enrolls new students, sends for permanent records from sending school, sends records to other schools for students who transfer out, enters data on students into the computer. Information on all students is updated each semester.
Purges old student files annually.
Enters master schedule for the high school into the computer. Updates course offerings, revises forecasting worksheet for scheduling classes, prints and distributes transcripts. Assists Assistant Principal with inputting course requests and determining numbers of requests for courses.
Prints out student schedules and teacher schedules and distributes to counselors and teachers.
Revises class assignments after review by counselors and department heads and makes corrections in the computer system.
Updates Curriculum Guide each year. Enters changes in course content, develops new course descriptions, deletes discontinued courses. Prints and distributes new booklet to department heads and administrators.
Prepares class lists of students at the high school and verifies student assignments.
Prints report cards, separates and mails to parents.
Follows up on final grades assigned to students who were graded “incomplete” and incorporates grades into student records.
Prepares senior deficiency list for graduating seniors__showing units students need to complete to graduate and one update every two weeks until graduation.
Assists secretary in preparation of list of graduating seniors.
Responds to various questions over the telephone and in person from counselors and other school districts on student records. Responds to student and parent inquiries about student records and distributes transcripts and other records on a timely basis.
Assists in filing information into students’ cumulative files as needed.
Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
Serves as notary for the high school
Maintains consistent and predictable attendance to meet the requirements of the position.
Performs other duties as assigned.
Experience: Prior job related experience paid or volunteer, preferably in schools.
Skills: Computer skills, knowledge of Google or Microsoft Suite, experience with standard office machines, telephone and other technology equipment. Excellent interpersonal skills. Excellent oral and written communication, including correct use of grammar, punctuation and spelling. Excellent secretarial/clerical skills, including typing, filing, organizing and basic arithmetic calculations. Basic accounting and bookkeeping skills.
Abilities: Work harmoniously with others. Work and communicate effectively with students, parents, and school personnel from diverse cultures or backgrounds in English, Spanish, or other languages. Work independently without supervision, and with minimal oral/written instructions. Ability to sit and/or stand for prolonged periods, understand and carry out oral and written instructions, maintain confidentiality of student records, meet schedules and deadlines, read/interpret/apply rules, regulations and policies.
Continuing Education/Training Clearances: Pre-employment criminal justice fingerprint clearance and criminal background check.
