Development Services is a multi-department line of business that offers one-stop shopping for general information and the permits needed for developmental activity in Bellevue and the surrounding service areas. We are code compliance officers, engineers, finance analysts, inspectors, planners, plans examiners, permit technicians, and support staff. The Development Services Department is looking for a dedicated and detail oriented Records Assistant to fill this part-time position. You will provide immediate support in managing issued building permit files and providing exceptional customer service to the public and internal staff. Daily activities include responding to customer requests, collection maintenance, and use of records and information systems.
The Records Assistant will work under the direction of the Permit Center Manager and provide support to two Development Services Records staff in the Development Services Department.

Essential Duties and Responsibilities
Process new incoming paper permit files.
Process and prepare daily incoming boxes and files from offsite storage for customer review.
Check out, check in and file back records into the City’s onsite storage system.
Prepare records to be returned to the City’s offsite storage, including performing quality control of the contents of the boxes.
Research file status and location using the City’s offsite storage system and the City’s records management system.
Assist with the intake of permit records requests from staff and the public via phone, email or in person.
Monitor the front desk during customer records review, including providing assistance with copy order requests, while providing excellent customer service.
Perform basic permit record research for customer requests using the City’s records management system, permit system and mapping system.
Retrieve and prepare inactive records to be sent to offsite storage.
Other duties as assigned.
Knowledge of general office-related tasks and ability to apply to records management activities.
Knowledge of computers, copiers, scanning equipment and proficiency in Microsoft Office applications and data entry.
Strong knowledge of business English.
Basic knowledge of the permitting process and familiarity with the addressing of Bellevue.
Knowledge of general records management practices and a basic understanding of the Public Records Act.
Ability to establish and maintain cooperative and effective working relationships with others.
Ability to effectively greet and assist the public in a friendly and professional manner.
Ability to be detail oriented.
Ability to compile information from a number of sources and provide the outcome in a professional and organized manner.

EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS
High school diploma or equivalent combination of education and experience
Four years of progressively responsible related office or administrative support
Must be able to push, pull, lift and/or carry up to 40 pounds.
