Administrative Assistant – San Diego Zoo Safari Park Full Time

HOW YOU WILL IMPACT OUR MISSION

The Administrative Assistant performs all job assignments to supports San Diego Zoo Wildlife Alliance's mission and vision of saving species worldwide by uniting our expertise in wildlife care and conservation science with our dedication to inspiring passion for nature and leading the fight against extinction. The Administrative Assistant provides administrative support of moderate difficulty, coordinates various office activities, and does not formally supervise support staff. This position reports to a Manager/Supervisor.

WHAT YOU WILL DO

• Provides daily administrative support for assigned team and support other teams as needed.
• Maintains a variety of contacts in order to respond to inquiries and requests.
• Greets, screens, and assists visitors/callers
• Organizes and prepares operational materials
• Manages assigned email accounts
• Reviews and distributes mail
• Produces a variety of reports and documents
• Works with assigned databases
• Process expense reports and invoices
• Schedules assigned director's/manager's calendar
• May assign work schedules to staff as appropriate
• Serves as receptionist as needed
• Composes/edits routine correspondence
• Works with donors and volunteers as assigned
• Arranges meetings and takes minutes as required
• May provide lead guidance to administrative staff

JOB EXPERIENCE

• Experience in a professional administrative capacity

EDUCATION AND CERTIFICATIONS

• California driver license

SKILLS AND KNOWLEDGE

• Principles and practices of organization and planning
• General administration
• Basic recordkeeping
• Use word processing in preparing routine documents
• Use database, spreadsheet, and desktop publishing systems is desirable
• Use office equipment
• Compose routine correspondence
• Handle multiple tasks
• Take fast notes or shorthand is desirable in some assignments
• Communicate effectively (verbal and written)
• Work effectively with others in a diverse environment
